2019 ANNUAL MEETING FAILED TO REACH QUORUM

Last week (5/8), the Country Hills Estate HOA board held the annual meeting for all homeowners. Unfortunately, there was not a quorum of homeowners (175), so no business -- board elections, HOA discussion points, or any new proposals - could be discussed with any official standing. A second annual meeting will be scheduled later in the year where the quorum requirements will be less restrictive so important decision can be voted on. Please look for this announcement. This is your community, and we want to hear from you.
HOA ANNUAL MEETING AGENDA

You are cordially invited to attend the Annual Meeting of the Members of the Country Hills Estates Homeowners Association, which will be held at the Corporate Pointe Auditorium on May 8, 2019 at 7:00 PM. The address is 8413 Fallbrook Avenue, West Hills (the guard will direct you to the Auditorium). In addition to the Agenda below, we will be conducting our annual election of directors by Secret Ballot at this meeting. If there is no quorum at the Annual Meeting, the Annual Meeting will be adjourned. A QUORUM (in person or by Proxy) IS REQUIRED TO HOLD THE MEETING AND VALIDATE THE COUNTING OF THE BALLOTS. Owners holding at least fifty-one percent (51%) of the voting power of the Association shall constitute a quorum, which is 138 homeowners, for the transaction of business at all meetings. HOA Name Change
We are pleased to report that our homeowner association name has been formally changed. We dropped the “Canoga” and our official name is now Country Hills Estates HOA, Inc.

Welcome Pacific Real Estate and Management, Inc.
The Board unanimously voted to approve the hiring of a property management company,Pacific Real Estate and Management, Inc., to assist the Board with all of the day-to-day responsibilities associated with our homeowners association. The Board chose Pacific Real Estate Management, Inc. after considering several options, based on the company’s experience, close proximity to our community, and very reasonable pricing. We fully expect that the overall costs of having Pacific Real Estate and Management, Inc. as our property management company will reduce our annual expenses. As such, we are not increasing our HOA dues in 2018.

READ: WELCOME LETTER FROM PACIFIC MANAGEMENT
By now you should have received a welcome letter from Pacific Real Estate and Management, Inc. by mail with a statement of your current balance due (or credit balance, if you prepaid your HOA dues for the entire year already through April 2018), along with other information. It is very important that you review, complete and return the paperwork included in that packet as soon as possible to ensure that the HOA has current contact information for your home, including email addresses. Please make sure we have at least one current active email address for your home. This is particularly important as we will be sending out communications to homeowners via email instead of regular mail (except when required by law), and in light of our transition to an online portal where homeowners can pay HOA dues via a secure website. Retirement of Karen Katzbeck
Our HOA’s certified public accountant Karen Katzbeck has retired. As many of our homeowners know, Karen was more than just our CPA. She fielded phone calls and inquiries from homeowners on a wide range of issues, many of which had nothing to do with accounting, and directed those inquiries to the Board of Directors as appropriate. Karen served our HOA for many years, and will be missed.

Enjoy Your New Website!
We hope all homeowners visit our new HOA website. Please check it periodically for updates. You will note below there are links for you to send emails to the HOA. All emails can go to our property management company Pacific Real Estate and Management, Inc., but there are also links if you want to send an email to the entire Board of Directors, or to the Architectural Control Committee. As a reminder, you should contact the Architectural Control Committee regarding landscaping, painting, construction and fencing issues, or if you are planning to install solar panels or a swimming pool. Please also remember that our CC&Rs require homeowners to obtain approval from the Architectural Control Committee prior to such installations. We welcome your feedback on the new website, and suggestions for additional items you would like to see included.
ACTIVATE YOUR NEW HOA PORTAL

In mid-March, the Country Hills Estates HOA sent all homeowners an email to activate their own portal for paying HOA dues online. The portal is on a secured website run by our property management company, Pacific Management.
